Student's Security and automated attendance system

Overview

Improving the safety of students has always been a top priority for any concerned institution authorities. Adas has launched next generation student safety solutions with help of RDIF technology, which aims at improving student safety, increasing productivity, saving operation time and thus reducing costs of operation.

The RFID solution helps in tracking students in which every student will be given an advanced long range RFID enabled identity badge that would help authorities to identify absenteeism, ensure student's safety during their commute to and from the institution and also guarantee that no student is left behind in institution during evacuation procedure.

The RFID hardware is also integrated with our Cloud based ERP system where the student's attendance gets updated automatically and various attendance related reports can be generated. The application is also capable of sending SMS to parents for the first in-time and last out-time of the student registered by the system. This ensures the student safety that he/she has reached the institution safely or the time when he/she left the institution. The system also sends absent SMS to the absentee's student's parent or SMS for the students arrived late.

In institute the student attendance system works subject wise where attendance takes place in every class, but while taking the subject attendance the RFID system can be used to know that the student is in the institute or not, but currently not in class. It also helps to know the time when the student has left the institute.

Why our RFID system?

There are various devices like biometric, face recognizer or retina scanner which provides more authority while capturing attendance because the biggest issue using RFID cards is that it can be shared between users, but we still recommend RFID in case of student attendance system because of the following reasons:
  • 1) The UHF device can read 20-30 cards every second, thus a bulk of students can have attendance within a second where as the other deceives takes min 5-7 second to read a single user.
  • 2) The cards can be read within a range from 2 meters to 50 meters, thus from a distance the attendance can be captured. The UHF Active RFID machine can capture attendance from a passing school bus with 50-100 students while entering the school campus and trigger SMS immediately to parents
  • 3) Biometric, face recognizer or retina scanner fails for small kids as they will not have proper developed figure prints or developed face for biometric and face recognizer machine respectively. Retina scanner is dangerous for their eyes so not recommended medically.
  • 4) If student’s surveillance is required then Active RFID is the only solution.
  • 5) Ours is the only organization which provides internal or external memory along with our RFID system, thus reducing any changes for loss of data. In other RFID system if the local computer is not functional or if the network between RFID and local computer is not functional then it will surely cause loss of data because the data gets saved only in local computer. But in our case the data gets save in the RFID machine memory and then it gets saved in local computer.
  • 6) Our RFID is also connected with Rackspace Cloud base ERP application. Therefore the data also gets stored in cloud based secured system from the local computer. The ERP application also provides various attendance reports like daily/monthly/yearly class and section wise attendance report, student’s daily/monthly/yearly absentee's record, date range/monthly shortage of attendance report, in institute subject wise attendance reports and so on.
  • 7) Our system is also connected with SMS system where various SMS can be trigged based on institution requirement like 1st in time SMS, last out time SMS, shortage of attendance SMS, absent student SMS and last coming student SMS.

Major issue and remedy of RFID

The major issue with RFID attendance system is that cards can be shared between the students for proxy attendance. For this situation we suggest the following remedies:
  • 1) For at least for 1-2 months the institution needs to match the head counts of students in class and attendance report in the ERP system. If any miss match takes place then definitely some student did something wrong. If few students get caught then a common feeling goes that the system is catching the culprits.
  • 2) We have made few modification in the hardware where the UHF RFID machine of ours will not read any RFID card with body contact, thus any hidden card will not be marked by the machine. So we recommend the institute that the student needs to once show the card towards the RFID machine to mark the attendance in presence of a faculty. This also works psychologically to students that somebody is watching them while the attendance is taking place.

Various RFID technologies

There are three kindly of RFID systems available which can be used as per the required purpose:

Low range RFID (S200, K200, M200):

Low range RFID is also called proximity RFID where the range of reading the card used to be 6 cm. It can read one card at a time and requires Proximity cards. This also contains in build memory in the machine, thus neglecting loss of data. These machines are usually used as security system for those locations where security and duration is important rather than attendance, like in Sick Bay/Medical Center, Stores, and Labs etc. It can also be used as student attendance system with multiple machines.

These machines come with external memory controller and are mostly used for student attendance system as well as student surveillance system where we can tract every movement of students.

Working Functionality

  • 1) ERP Account: An ERP account for the institution will be created by our implementation team along with basic information of the institution.
  • 2) SMS Account: SMS account with 6 character send id will be created by our implementation team.
  • 3) Employee Registration: The employees will be registered in the ERP system along with the RFID tag id of every employee.
  • 4) RFID Local software: The client needs to provide us a local computer with networking connectivity with the Access Control machine. In the local computer our team will install the TimeTrackLite where the local data will be stored.
  • 5) Mapping: We will be running a mapping file which will get the employee data from the ERP and store in the TimeTrackLite software with ERP mapping details of every employee, thus no need to again register every employee in the local software.
  • 6) Event: Now the RFID device is functional and student/employee can start marking their attendance which we call as 'Event'. For every event the data gets stored in the RFID controller (external memory) and also in local computer TimeTrackLite software
  • 7) Filler: Now a batch file called 'Filler' which runs every 10 min send the data to ERP as RAW data i.e., if a employee shows his/her card for 10 times in a day then all the 10 times data gets saved with different time.
  • 8) Pusher: The Rackspace Cloud Server now runs another schedule task every 5 min to convert the RAW data to attendance data i.e., the first entry as In-Time and the Last entry of the day as Out-Time. Only after this the data gets displayed in the ERP system

Social Media in Schools ...... Possible!!

Now-a-days social media has become our habits more than our necessity. It's just too boring to spend a single day without a smart phone full of applications. But this is not always applicable for teens or school-going students. The must-haves or must-dos like Facebook, Twitter, Youtube etc are often a big no-no for students. The parents of a teen kid are mostly worried if the child is using internet. The teachers tend to advise parents to not let the students use internet before they turn 18. But till-date many teachers as well as parents are unaware of the benefits of Social Media in educational nourishment of a student. Let's have a look at the pros and cons of Social media on students.

Pros:

  • Do we write letters when we can talk to people over phone? Do we even call when we can send some a message through SMS. Do we even spend Rs.1/SMS just to say "Hi" when we can simply Whatsapp (If we don't count the Internet charges)? The answer is known to everyone: "NO". Then why do the children have to select a place and meet there if they want to have GROUP STUDY when they can simply group chat and discuss about their study and progress?We all know how studying in group helps more than studying alone.
  • Have you always been the topper of your class? Have you never ever suffered from inferiority complex seeing someone doing better than you. Have you always been able to ask all your doubts clearly to the teachers in front of a full class? I know many-if-not-all would say No. These kind of students would find it very easy to ask about his/her doubts to only the teacher through Social Media where the whole class wouldn't be there to laugh at his/her dumb questions(Sometimes it may be such but that too needs to get cleared).
  • In past years, if a student had missed school one day, he/she would have to wait to meet friends back at the school and take the notes that he/she missed. But if the note is given in a soft copy, they can be shared within moments, and even if they are not, the students can easily scan or take a photo and share them which are equally useful.
  • And the most important thing, the parents don't have to wait for the PTMs to meet the teachers and know about their children performance. Parents, Students and Teachers can stay connected easily through Social Media.
  • The students can connect to their Alumni and ask for any kind of suggestions. 

Cons:

  • Along with being Pacific of Knowledge, Internet is also very much distractive with lots of eye-catching things being cultivated through out the online world which could really be harmful for the innocent, immature and curious minds of teens.
  • Sometimes students face Cyber-bullying (Cyber-bullying is the use of information technology to repeatedly harm or harass other people in a deliberate manner) by other students through social media.
  • Students can start sharing inappropriate photographs, contents, videos which are easily available online which can affect students' minds badly.
  • Students continually depending on Social Media  become less interested in meeting people face-to-face as they lack the social-life-skills.
  • The easily accessible information decrease the willingness of students to remember something.

Solution:

The parents can also stay connected with other parents and teachers. Here students will not be open to add any unknown people but only the students of that particular school, hence the chance of distraction will be less. Overview

Under Access Control Devices we are providing various ranges of Biometric Devices, Face Recognizing Devices, Biometric Door Locks, Video Door Monitoring Devices and Canteen Management Devices. Adas has launched next generation access control attendance and security system along with ESSL India in 2012 for, which aims at improving safety, increasing productivity, saving operation time and thus reducing costs of operation.
The biometric and face recognition devices are used for employee attendance system where the in-time and out-time of any employee can be automated with real time data and reports.
Low Range RFID can also be used as attendance but with an option that cards can be shared by employees, thus we recommend to use low range RFID devices for those location where security and duration is important rather than attendance, like in Sick Bay/Medical Center, Stores, Labs etc
Biometric Door Locks, Video Door Monitoring and Digital Webcams can used for high security areas.
Canteen Management Devices is used to monitor various records of Canteen.
Note: We also have retina recognition devices but we do not recommend them because of vision effect of uses.

How biometric and face recognition devices works?

We recommend access control system for employee attendance because of the following reason:

For employee attendance system biometric/retina scanning devices can be used to make the system automated.
This will reduce the heavy paper work of the institution to manage its own employees.

Pay students fee online - School Management ERP, Easy Gurukul

 

Overview

Adas Technologies Pvt. Ltd. partnered with feepal, PayU and Zaakpay in 2014 to provide an integrated payment gateway system along with our cloud based ERP systems IMSLive, EasyGurukul and XPressEG. The purpose is to provide parents an easy fee payment process using their credit card, debit card or online banking sitting at home, removing the pain to deposit fee by traveling distance and standing in a queue.
Adas provides the facility to the guardians to make online fe s payments for their wards. The partner schools, colleges and institutes get the complete fee directly in their bank accounts. The payers have to bear a minimal convenience fees or Transaction Discount Rate (TDR) per transactions.

Benefit of payment gateway

1) Management Benefit
  • 1) Proving multiple payment gateways with support from feepal.
  • 2) Zero setup cost for both the payment gateways, while most of the payment gateway providers in market charges 10,000 to 50,000 Rs for single payment gateway setup.
  • 3) Very minimum transactional amount for parents. Less than any payment gateway providers.
  • 4) Parents paying fee online will reduce fee pay queue in the institution thus reducing resource, time and money.
  • 5) Payment made by parents will be automatically deposited in institution bank account and auto voucher will be generated thus reducing time for finance manager.

Working Process

Payment gateway can be used by following modules:
  A) Students fee payment from parent login in ERP.
  B) Student Admission related fee payment from the institution website.

A) Students Fee Payment from parents login in ERP

  • 1) Parents will access the ERP using their ERP login. After login the below screen will appear:
  • 2) After login the parents will have to click Fee Manager -> Student Fee Entry. The below screen will appear:
  • 3) After selecting the Fee type parent have to click the "Pay Fee" button. The below screen will appear:
  • 4) Now the parents need to select the "Payment Mode" as Credit Card, Debit Card or Online Banking.
  • 5) As per selection the transaction amount will be added to the Total Amount.
  • 6) Then the parents need to click the Submit button. This will connect the payment gateway and below screen will display:
  • 7) Then the parents need to click the "Complete Order" button after entering the Card Information. The below screen will appear:
  • 8) After waiting for few moment it will connect the bank for payment credential:
  • 9) After payment a success/failure message will display and it will redirect to the ERP.
  • 10) If the payment is successful then it will send an email to the parents with the payment details and will also automatically update in ERP with students fee details. Within seconds the Fee amount will automatically be deposited to school bank account registered in the ERP.

B) Students Admission fee from institution website

This works similar to the student fee entry except the fee entry screen which will be as per institution website and admission rules and fee configured in the ERP.
